Kelly Services Executive Assistant in Calgary, Alberta

We’re looking for a dynamic Executive Assistant to join a leading financial company for a permanent position in Calgary, AB . As part of our client's team, you’ll provide exceptional support to our President, Vice President of Human Resources, and Vice President of Legal, and do a diverse range of management tasks as well as taking the lead on key operational activities.

Responsibilities:

• Collaborate closely with the President to support all aspects of his daily activities.

• Assess the priority of matters requiring the President's attention; delegate tasks to appropriate staff or handle them personally as necessary.

• Provide extensive administrative support to the President, VP of HR, VP of Legal, and other executives as needed.

• Prepare, review, reconcile, and submit expense reports and invoices for the President, VP of HR, and VP of Legal.

• Draft, review, and prepare documents, memorandums, presentations, reports, and general correspondence on behalf of company executives.

• Maintain well-organized paper and electronic filing systems and manage the President's Outlook calendar, exercising discretion in scheduling and prioritizing needs.

• Coordinate and organize meetings, including preparing documents in advance and managing logistical details, such as agenda preparation.

• Plan and organize conferences, training sessions, and special events.

• Create professional corporate communications and presentations using PowerPoint.

• Perform general business tasks, including filing, photocopying, and scanning documents.

• Arrange travel accommodations, including hotel, air travel, and other reservations.

• Attend meetings, take notes, and prepare initial drafts of minutes and summaries.

• Handle confidential and sensitive information with utmost care.

About you:

• At least 10 years of experience as a Senior Administrative Assistant or Executive Assistant.

• High-level proficiency in MS Office applications, including Word, Outlook, Excel, and PowerPoint.

• Outstanding interpersonal skills with a proven track record of professional communication, both verbal and written.

• Demonstrated sound judgment, confidentiality, and an understanding of authority boundaries.

• Self-motivated with the ability to work independently and take initiative.

• Exceptional attention to detail and adaptability.

• Expertise in planning and coordinating special events, meetings, and conferences.

• Professional and polished demeanor.

• Ability to adapt to changing priorities, multitask efficiently, and maintain flexibility.
