Title: Administrative Assistant

Duration: 18+ months (temp-hire possibility!)

Location: Cambridge MA

Essential Duties and Responsibilities:

  • Supporting internal communications and external communications teams

  • Must have concur experience and experience with purchase orders

  • Will assist team to book travel, handle expense reports, and manage the communications mailbox and will copy/paste to internet sites

  • Performs basic administrative duties and office support activities for a team.

  • Coordinating the team and project stakeholders (internal & external)

  • Assisting with planning and organization of internal and external business meetings, events (such as Town Halls) and workshops

  • Updating and maintaining websites and intranet sites

  • Maintaining the corporate mailboxes and other team communication tools

  • Providing general administrative support to the team

  • Supporting the budget process and expenses reporting

  • Handling contracts, signatures and invoices. Enters requests for payments into accounting system based on documentation provided by supervisor and team members; assists with response to inquiries from accounts payable and payees.

  • Organizing travel and meeting arrangements as well as visa applications

  • Acting as back-up for other assistants

  • Performs other duties as required.

Qualifications:

  • MUST HAVE impeccable attention to detail since this is the communication team

  • must have basic computer skills

  • SharePoint skills preferred

  • Experience in project work, preferably in the healthcare industry and / or public relations

  • Excellent communication, organizational skills and flexibility

  • A value based, proactive and service oriented behavior

  • Networking skills and cultural understanding

  • Comfortable to operate in a dynamic international environment

  • Pro-active and self-driven with a positive mind-set

  • Extended administrative competence/experience and user skills in relevant IT (MS office, web content management)

  • English language fluency; Japanese a plus

Education / Experience:

  • High school diploma/GED required

  • Preferably 3-5 years of experience as Team Assistant or Executive Assistant, supporting executive levels and similar additional experience or background from managing public relations.
