Kelly Services Executive Assistant (Remote) in Montréal, Canada

We’re looking for a dynamic Executive Assistant to join a leading financial company for a temporary (6 to 7 months) remote position in Canada . As part of our client's team, you’ll provide exceptional support to our President, Vice President of Human Resources, and Vice President of Legal, and do a diverse range of management tasks as well as taking the lead on key operational activities.

Responsibilities:

  • Organize and manage the CEO's appointments and schedule, ensuring efficient time management and prioritization.

  • Screen the CEO's emails, prioritize important messages, and respond on their behalf, maintaining a professional yet friendly tone.

  • Prepare agendas and materials for meetings, ensuring all necessary information is available and organized.

  • Attend meetings, including board and executive group calls, to take detailed notes and minutes, capturing key points and action items accurately.

  • Act as the primary point of contact between the board and the organization, facilitating clear and effective communication and participating in board calls.

  • Assist with onboarding new board members, ensuring they are well-informed and integrated smoothly.

  • Schedule and coordinate internal executive group calls on a weekly, biweekly, and monthly basis, keeping all parties informed and up-to-date.

  • Provide comprehensive administrative support to the CEO, helping manage day-to-day tasks and ensuring smooth operations.

About you:

  • Minimum 3 years as Executive Assistant or similar role.

  • High-level proficiency in MS Office applications, including Word, Outlook, Excel, and PowerPoint.

  • Outstanding interpersonal skills with a proven track record of professional communication, both verbal and written.

  • Demonstrated sound judgment and confidentiality.

  • Self-motivated with the ability to work independently and take initiative.

  • Exceptional attention to detail and adaptability.

  • Expertise in planning and coordinating special events, meetings, and conferences.

  • Ability to adapt to changing priorities, multitask efficiently, and maintain flexibility.
